Tips for NDIS Policy Manuals

  1. Policy Manuals are just part of the story. NDIS providers must have suitable Quality Management Systems (QMS). Certification audits check the entire system — forms, registers and other records.
    TIP: Make sure you establish a functioning QMS, not just policies.
  2. Policy Manuals are living documents, with content added as circumstances change. Policy Manuals are never ‘complete’. The NDIS Practice Standards require that they consider: legislation and regulation, best practice, risk, and feedback — these things change over time. 
    TIP: Before you purchase policies, make sure they come in a format that allows editing.
  3. Your policies should address all the NDIS requirements. If they don’t, it will likely cause problems at audit.
    TIP: Problems identified at audit must be fixed within limited timeframes. You can reduce stress and effort by fixing problems before audits
    . Problems with policies and processes can be identified by conducting a gap analysis or self-assessment.
  4. Policies should reflect the risks associated with a service, from personal injury to information security, from prevention to incident reporting.
    TIP: Make sure your policies reflect the level and type of risk associated with the services you deliver. 
  5. Certification audits assess how much staff understand policies and processes. Policy manuals should be accessible to staff. Training should verify that staff can comply with the organisation’s policies.  
    TIP: Make sure your policies are written in clear language and they provide the guidance staff need.
  6. Poor policies can create serious problems.  Providers need NDIS-specific policies that guide organisational compliance.
